How to Convert Excel to PDF
If you have Excel, File > Export > PDF is the easiest path. Without Excel, LibreOffice does the same job free: one command turns a spreadsheet into a PDF that keeps the table, the numbers, and the layout. Here is the exact flow, tested.
At a glance
- LibreOffice converts .xlsx to PDF with one command — no Excel, no account, no upload.
- The PDF keeps the table layout: headers, columns, and numbers in place.
- Tested 6 November 2026: a 5-row sheet became a 1-page PDF of 9,172 bytes.
- A PDF is a snapshot — formulas become their results, and nothing stays editable.
- PDF Probe does the opposite job: PDF tables to Excel. It does not convert Excel to PDF.
Steps
- Install LibreOffice (free from libreoffice.org) or check it is there:
soffice --version. The test used LibreOffice 24.2.7.2. - Convert:
soffice --headless --convert-to pdf your-file.xlsx— the PDF appears next to the spreadsheet, same name, .pdf ending. - Check the result:
pdftotext your-file.pdf -should show your table. On the test file, a 5-row sheet became a 1-page PDF. - If a wide sheet splits across pages, open it in LibreOffice Calc, set Format > Page Style > Landscape (or Fit to page), save, and convert again.
- For many files at once, pass them all in one command:
soffice --headless --convert-to pdf *.xlsx.
Worked example (tested 6 November 2026)
I tested this with a small .xlsx made with openpyxl (4,983 bytes: a Date / Item / Amount header plus 5 rows). soffice --headless --convert-to pdf sample.xlsx produced a 1-page PDF of 9,172 bytes, and pdftotext read the table back — dates, items, and amounts all in place.
| Date | Item | Amount |
|---|---|---|
| 2026-10-01 | Paper | 12.50 |
| 2026-10-03 | Ink | 24.99 |
| 2026-10-05 | Stapler | 8.75 |
| 2026-10-08 | Folders | 5.20 |
| 2026-10-10 | Pens | 3.40 |
What it can't do (tested)
- Formulas: the PDF shows each formula's result, not the formula. Nothing in the PDF recalculates.
- Very wide sheets: a sheet with 12 columns split across 2 pages in the test. Set landscape or fit-to-page first if the sheet must stay on one page.
- Charts: a bar chart titled Monthly sales rendered — its title text came through in the PDF. Complex charts can still shift between Excel and LibreOffice, so check the PDF before you send it.
- Hidden rows and sheets: hidden rows stay hidden; hidden sheets are skipped. What you see in Calc is what the PDF gets.
Free alternatives, honestly compared
- Excel itself: File > Export > Create PDF/XPS is the most faithful converter if you have Excel — it knows its own formatting best.
- Google Sheets: File > Download > PDF works from any browser, no install. Formatting of Excel-specific features can shift on import.
- Print to PDF: any spreadsheet app can print to a PDF file. It works, but page breaks and margins are harder to control than a real export.
PDF Probe converts in the opposite direction — PDF tables and bank statements to Excel. If that is the job, see How to Convert PDF to Excel.
Frequently asked questions
Will my formulas still work in the PDF?
No. A PDF is a snapshot: it shows each formula's current result as plain text. If the numbers change, convert again.
Is LibreOffice really free?
Yes, LibreOffice is free and open source, for Windows, macOS, and Linux. There is no account, no trial, and no page limit.
Can I convert many spreadsheets at once?
Yes. Pass several files — or *.xlsx — to the same soffice command and it converts each one in turn.
Do I need Excel installed?
No. LibreOffice reads .xlsx files on its own. You only need Excel if you want Excel's own export, which is the most faithful option for complex files.
